How to Reduce PDF Size for Email
Reviewed and updated August 21, 2026
Email providers often cap attachments around 10–25 MB, but smaller is better for deliverability.
Steps
- Try medium compression first
- Remove unnecessary pages
- Split into parts only if the recipient needs separate files
Check the real attachment limit
Email services and workplace gateways use different limits, and message encoding can make an attachment slightly larger during delivery. A file that is just below the advertised maximum may still fail, so leave a reasonable margin.
Choose a quality level for the recipient
- Recommended compression for documents that must remain easy to read
- High Quality when the recipient may print the PDF
- Extreme compression for reference copies or strict mail gateways
- Split PDF only when separate parts make sense to the recipient
When not to attach the PDF
For very large portfolios, scans, or design proofs, a secure file-sharing link may preserve quality better than extreme compression. Confirm that the recipient can access the link and that your organization allows the chosen service.
Frequently Asked Questions
Why did the email reject a PDF below the stated limit?
The complete message includes encoding and other attachments. Corporate mail gateways may also apply a smaller limit than the email provider.
Will splitting the PDF make it easier to email?
Yes, but only split at logical sections and label the parts clearly so the recipient can read them in order.
